Scope of this policy

This policy applies to personal information we collect through our website, marketing activities, events, and business relationships. It does not apply to personal information we process on behalf of our clients as a service provider or processor - that information is governed by our agreement with the client, and requests about it should be directed to the client that controls the data.

Information we collect

We collect the categories of personal information described below. We do not ask for and do not want sensitive personal information such as government identifiers, financial account numbers, precise geolocation, or health data through this website.

  • Information you provide: your name, business email address, telephone number, company, job title, country, and the content of any message or briefing request you send us.
  • Recruitment information: if you apply for a role, the contents of your application, CV, and any information you choose to include.
  • Technical information: IP address, browser type and version, device type, operating system, referring URL, and the pages you view on claravance.ai.
  • Usage information: interactions with our pages and content, such as which resources you open or download, collected in aggregate.
  • Communications: records of correspondence with our team, including support and sales inquiries.

How we use information

  • To respond to your inquiries and schedule executive briefings.
  • To provide, operate, maintain, and improve our website and services.
  • To send business communications you have requested, including insights and product updates, which you can unsubscribe from at any time.
  • To evaluate applications for employment.
  • To measure and improve the performance, accessibility, and security of our digital properties.
  • To detect, investigate, and prevent fraud, abuse, and security incidents.
  • To comply with legal obligations and enforce our agreements.

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising as those terms are defined under US state privacy laws.

If you are in the European Economic Area or the United Kingdom, we process personal information on the following legal bases: performance of a contract with you or your organization; our legitimate interests in operating and promoting a business-to-business technology practice; your consent, where we ask for it, which you may withdraw at any time; and compliance with legal obligations.

Cookies and similar technologies

We use a small number of cookies and similar technologies. Strictly necessary cookies keep the site secure and functional and cannot be switched off. Analytics cookies help us understand which content is useful and where the experience can improve; we load them only where permitted and, where required, only after you consent.

You can control cookies through your browser settings. Blocking strictly necessary cookies may prevent parts of the site from working correctly.

How we share information

  • Service providers: hosting, email delivery, analytics, customer relationship management, and recruitment platforms that process information on our instructions and under contract.
  • Professional advisers: lawyers, auditors, and insurers where necessary and subject to confidentiality obligations.
  • Corporate transactions: an acquirer or successor in the event of a merger, acquisition, financing, or sale of assets.
  • Legal and safety: authorities or other parties where we reasonably believe disclosure is required by law or necessary to protect rights, safety, or property.

International data transfers

Claravance operates a global delivery model with teams in the United States and India. Personal information may therefore be transferred to, stored in, or accessed from countries other than your own. Where we transfer personal information out of the EEA or the UK, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses together with supplementary measures where required.

Data retention

We keep personal information only for as long as needed for the purposes described in this policy. Business inquiry records are typically retained for up to twenty-four months after our last interaction, recruitment records for up to twelve months unless you ask us to keep them longer, and records required for legal, tax, or accounting purposes for the period the law requires.

How we protect information

We maintain administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls on a least-privilege basis, logging, and regular security review. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your privacy rights

Depending on where you live, you may have the following rights in relation to your personal information. Residents of California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, and other states with comprehensive privacy laws have these rights under those laws.

  • Know and access: request confirmation of whether we process your personal information and obtain a copy of it.
  • Correct: request correction of inaccurate personal information.
  • Delete: request deletion of personal information we hold about you.
  • Portability: receive your personal information in a portable, readily usable format.
  • Opt out: opt out of the sale or sharing of personal information and of targeted advertising. Claravance does not sell or share personal information, so there is nothing to opt out of, but we honor requests and recognized opt-out signals such as Global Privacy Control.
  • Limit sensitive information: direct us to limit the use of sensitive personal information. We do not collect sensitive personal information through this website.
  • Appeal: appeal a decision we make about your request, where your state provides that right.
  • Non-discrimination: exercise these rights without receiving discriminatory treatment.

To exercise any of these rights, email Byron@claravance.ai with the request and the state or country you live in. We will verify your identity using the information we already hold, respond within the time your law requires - generally forty-five days, extendable once where permitted - and tell you if we need more information. An authorized agent may submit a request on your behalf with written permission that we can verify.

If you are in the EEA or the UK, you also have the right to object to or restrict certain processing, to withdraw consent, and to lodge a complaint with your local supervisory authority.

Children's privacy

Our website and services are intended for business use and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

Our site links to partner and third-party websites. We are not responsible for their privacy practices, and we encourage you to read their privacy policies before providing them with personal information.
